Team Meeting Links
Team Meeting Links work hand in hand with Levitate’s Schedule a Meeting feature. They allow Admins and Super Admins to create a single booking link that routes meetings to multiple team members based on availability and priority. This helps streamline scheduling, reduce the number of links shared, and make it easier for contacts to book meetings with the right person.

Permissions
To access and manage Team Meeting Links, you must be an Admin or Super Admin on the Levitate account.
How to Access Team Meeting Links
- Navigate to Schedule a Meeting in Levitate.
- In the upper-right corner, click Manage Team Meeting Links.
Creating a Team Meeting Link
- Click Add Team Meeting Link.
- Enter a Name for the team meeting link.
Select the Team Members (users on your Levitate account) to include.
Choose the Meeting Type that has already been created.
- This meeting type is what will be booked when someone schedules through the link.
Setting Booking Priority
Each team member can be assigned a Priority number:
- Same priority (e.g., all set to 1):
- The first available user is booked.
- If multiple users are available at the same time, one is chosen at random.
- Different priorities (1, 2, 3, etc.):
- Priority 1 is booked first if available.
- If not available, Priority 2 is checked next, then Priority 3, and so on.
This helps route meetings to preferred team members while still allowing flexibility.
Saving and Sharing the Link
- Once team members, meeting type, and priority are set, click Create or Save.
Copy the generated booking link.
Share the link on:
- Your website
- Email signatures
- Email campaigns
- Anywhere you normally share meeting links
Instead of booking for a single person, this link checks availability across all selected users.
Overriding Meeting Settings
Admins and Super Admins+ can apply uniform meeting settings across team members:
- Select one, multiple, or all team members.
Click Edit Meeting Settings.
Override existing settings, including:
- Meeting duration
- Allowed start times (top of the hour, quarter after, half past, quarter till)
- Maximum meetings per day
- Maximum meetings per month
- How many days in advance can a meeting be booked
- Reminder email template for scheduled meetings
These overrides can create consistency in meetings across the team.
Finalizing Changes
- After making changes, click Save.
- Test the booking link by pasting it into your browser.
- The scheduler will load availability based on all selected team members.
Benefits of Team Meeting Links
- Fewer booking links to manage
- Easier scheduling for contacts
- Fair distribution of meetings across a team
- Centralized control for admins
- Increased flexibility for meeting availability
Team Meeting Links make it easier for teams to manage shared meeting availability with one simple link. By combining multiple users, priority rules, and optional meeting setting overrides, teams can offer a smoother and more flexible scheduling experience.
