This comprehensive guide is designed to help Levitate clients seamlessly integrate their Levitate account with QuickBooks Online, streamlining your processes and saving you time and effort. Levitate can sync data from QuickBooks Online including client names, email addresses, physical addresses, matters, and more.
This is a read-only integration, meaning Levitate can only pull data from QuickBooks Online but cannot write data back to QuickBooks Online.
The integration syncs in real time— so all contacts and their data remains evergreen in Levitate.
Who can utilize the Levitate + QuickBooks Online integration?
Customers with levitate Business and Business Plus accounts in the Financial sector can utilize the Levitate + QuickBooks Online integration.
What does the integration do?
Levitate automatically pulls in contacts and assigns tags from QuickBooks Online twice daily, keeping your records up-to-date. We scan QuickBooks Online for clients to create primary contacts within Levitate. Levitate will automatically add tags to clients and reference their client status, last invoice, and overdue status. The integration will also pull contacts who are not active clients in order to create prospecting lists. We help you keep your emails authentic with filtering and contact enhancement logic.
As of now, Levitate does not have the ability to push data into QuickBooks Online, meaning we will not be able to write back emails, notes, phone calls and texts into QuickBooks Online.
Setting Up the Integration
The user setting up the Levitate + QuickBooks Online integration must be an admin on the account. Once the integration is enabled for your account, you can follow the steps below to connect your QuickBooks Online account to Levitate.
In order to connect your QuickBooks Online account to Levitate, you'll want to navigate to the Integrations section of the profile dropdown in the top right corner of the dashboard.
Once you've located the list of enabled integrations, find QuickBooks Online and click Manage Integration, as seen above.
Ok, let's go ahead and connect our QuickBooks Online account to Levitate. Make sure you know your login credentials for QuickBooks Online and you've already set up your company within QuickBooks Online.
A small popup will appear notifying you that Levitate is requesting access to your QuickBooks Online account. Go ahead and click Continue when you are ready.
In order to authorize QuickBooks Online, a login screen will need to open in a new window. Go ahead and click Open window when you are ready to login with your QuickBooks Online credentials.
Enter your QuickBooks Online credentials in the window (as pictured above), either via Google SSO or manually by entering your email or user ID and password. When you're done, click Sign In.
If your login credentials were entered correctly, you'll see a page similar to the one above that will ask you to confirm the connection between the company you've set up in QuickBooks Online and Levitate.
After you've connected the company to Levitate, you'll be returned to Levitate and be prompted that the integration has been set up successfully. You can now click Finish Setup, and your integration with QuickBooks Online will begin to sync in the background.
Disabling the Integration
If, for some reason, you need to disable the QuickBooks Online integration within Levitate, you can do so by following the steps below.
Find the Integrations page within the profile dropdown in the top right corner of your dashboard.
Locate the QuickBooks Online integration and click Manage Integration.
You can disable the integration by clicking the linked text that reads click here to disable.
If you need to reconnect the integration after it's already been disabled, click Connect again and follow the prompts to update the integration, as pictured above.
What contact information do we pull in?
- First Name
- Last Name
- Physical Address
- Email Address
- Phone Number
How does the integration tag contacts?
Levitate will add the following tags to contacts where applicable:
- Client Status (contacts will receive a client tag if they are an active client)
- Last Invoice (year only)
- Overdue (if the contact has any outstanding invoices)
