Outlook Plugin: Features and Usage

The Levitate Outlook Plugin puts your contact details, communication history, and action items directly inside Outlook. This article covers the key features available once the plugin is installed and open on an email.

Contact Info Tab

The Info tab shows the card for the contact you're viewing: their photo, name, and — when the contact has a job title — the title with their company; a linked company opens its page in the Levitate web app. Below that, a Last Interaction pill shows when you last interacted with the contact, color-coded by relationship health.

Select Edit on the contact card to update the contact's photo, name, job title, email, and visibility without opening Levitate in a browser. Changes save back to the contact's Levitate profile right away.

Below the contact card, a row of quick actions is available for the contact:

  • Set a reminder to keep in touch — set a keep in touch reminder for the contact.
  • Start Automation — opens the contact in the Levitate web app to start an automation.
  • Open in Levitate web app — jumps to the contact's full profile in Levitate.
  • Save this email as a note and Save email as note to other contacts — save the open email to this contact's history, or to any other contacts you choose.

Further down the Info tab you can manage the contact's Key Facts, custom fields, tags, email addresses, and visibility.

Mail Read Pane

When you open an email, the plugin's read pane shows a single "On this email" list that groups everyone on the email in one place — the sender's row is tagged Sender. Each row displays a compact contact card with the person's photo and name, and a filter box above the list lets you narrow it by name, email address, or company. Selecting View on a row opens that contact's full profile — Info, Notes, and History — and a back button returns you to the list.

Note: If there is only one person on the email, the plugin skips the list and goes straight to them — their contact profile if they're in Levitate, or the New contact form if they're not.

Contact History Tab

The History tab shows a timeline of all activity recorded for a contact, grouped by day, loading more as you scroll. A Filter by type selector lets you choose which kinds of activity to show — notes, action items, emails, texts, phone calls, surveys, handwritten cards, file events, and activities outside Levitate — and remembers your selection.

The timeline is interactive, not just a log:

  • Entries with content — notes, phone-call notes, emails, survey responses, handwritten card messages — expand in place, and file attachments on notes and emails can be downloaded.
  • Notes have a menu on the entry: Edit opens the note in the note editor, and Delete removes it after a confirmation.
  • Action items show their due date and assignee, highlight when overdue, and can be checked off (or unchecked) directly on the timeline. A Send Email link opens a new email to the contact.
  • A meeting entry shows a +N link listing the other attendees.
  • A text-message entry has a See More link that opens the full conversation thread.
  • Tracked emails show a Viewed on badge once the recipient opens them; emails Levitate didn't send are labeled Sent outside of Levitate.

File events — including downloads, sends, deletes, and file requests — appear as entries on this timeline alongside emails, notes, and other interactions.

At the top of the History tab, an Automations in Progress banner surfaces any active automations running for the contact, showing each automation's name, status, and how many of its steps are complete.

Notes Tab

The Notes tab is where you write notes about the open email and review the notes already saved for the contact. The contact you're viewing is attached to the note automatically, and a Search contacts field lets you add any other contacts to the same note. You can remove any of the attached contacts — including the one you're viewing — so a note can be saved to a completely different set of contacts; it just needs at least one. A formatting toolbar supports bold, italics, underline, and lists.

While writing a note, select Add an action item to this note to capture follow-up tasks alongside it — the action items save together with the note.

Saved notes are listed below the editor, most recently updated first. Long notes collapse behind a Show more toggle, and the list shows a few notes at a time with a Show [N] more link for the rest. Use the menu on a note to edit or delete it.

Action Items

Action items for a contact are displayed directly in the plugin and can be edited without opening Levitate in a browser. Each action item has a kebab menu (the three-dot icon) with Edit and Delete options. Selecting Edit opens the item inline, where you can update the title, adjust the due date, and write a multi-line description. Changes save back to the contact's profile as soon as you confirm.

Composing an Email

When you open a new email compose window with the plugin open, the pane switches to compose tools.

Check Track with Levitate to track the email. Levitate saves a copy of the sent email as a note on the recipient's profile and notifies you when the email is viewed or replied to. The checkbox is off by default for a new email unless you have turned on default tracking in Advanced Settings.

The Advanced Settings link expands additional sending options:

  • Save a copy of this email as a note — on whenever tracking is on. While it's checked, a Visibility selector appears so you can save the note as visible to all employees or keep it private.
  • Remind me to follow up in [N] days if there's no reply — creates a follow-up reminder for the email; the default is 7 days.
  • Always track sent emails with Levitate — makes tracking on by default for the emails you compose.

Note: Tracking is applied while the Levitate pane is open in the compose window. If you compose and send an email without opening the pane, that email is not tracked — including when the always-track setting is on.

As you add recipients to the email, a Recipients list in the pane matches each address to Levitate. A recipient who is already a contact shows a View link that opens their profile in the pane; an address Levitate doesn't recognize shows an Add button that opens a pre-filled form to create the contact. Either way, a back button returns you to the draft.

A Templates card at the top of the pane lets you browse and insert your Levitate email templates — see Outlook Plugin v2 — New Features for how templates work.

If AI features are enabled on your account, the Ask Lev assistant is also available at the bottom of the pane while you compose.
