Requesting a CRM Integration Resync

What is a Resync?

A resync re-pulls contact data from your connected CRM into Levitate. Levitate automatically syncs with CRM integrations on a regular schedule (typically every 24 hours), but there are times when you may need your data refreshed sooner than the next scheduled sync.

When to Request a Resync

Common reasons to request a manual resync include:

  • You made bulk changes to contacts in your CRM (adds, edits, or deletions) and need them reflected in Levitate right away
  • You recently corrected a field mapping or integration setting and want those changes applied to existing contacts
  • A sync error occurred and contacts did not update as expected
  • You completed initial setup or reconnected your integration and want to confirm data is fully loaded

How to Request a Resync

There is no self-service resync button available to customers in Levitate. Manual resyncs are triggered by the Levitate Support team on your behalf.

To request one, contact your Success Specialist or reach out to Levitate Support at support@levitate.ai. Include the following in your message:

  • Your Levitate account email address
  • Your CRM type (for example: Redtail, Wealthbox, HawkSoft, EZLynx)
  • Confirmation that your integration shows "Connected" under Settings > Integrations
  • A brief description of what data you expect to see updated and, if relevant, the date range of changes you need synced

During business hours (9 am–5 pm ET, Monday–Friday), the Support team can typically process the request within one business hour.

Contact Count Differences

If you notice that Levitate shows fewer contacts than your CRM, a resync will refresh the data but may not change the total count. Contact counts differ for several common reasons:

  • Missing email addresses — Levitate is an email-first platform. Contacts without an email address may be excluded from the sync entirely.
  • Sync filters — Your integration may be configured to sync only certain contacts based on status (e.g., active clients only), category, contact type, or prospect status. Contacts that do not match the configured filters are intentionally excluded.
  • Excluded contact types — Deceased contacts are always excluded from sync and will not appear in Levitate.
  • Tag-based filtering — Some integrations are configured to sync only contacts with specific tags set in your CRM.

Note: A resync re-pulls data from your CRM using the same filters already in place. If the count difference is due to how your sync filters are configured, a resync will not change the number of contacts in Levitate.

If you have completed a resync and the contact count still differs from what you expect, contact your Success Specialist or Levitate Support at support@levitate.ai. The team can review your integration settings and filter configuration to explain the discrepancy.

FAQs

Q: Will a resync overwrite changes I made to contacts directly in Levitate?

A: Yes. For integrations where your CRM is the system of record, a resync pulls the current data from the CRM and updates Levitate accordingly. Any manual edits you made to CRM-synced fields in Levitate may be overwritten. If you need certain fields preserved, mention that when you contact Support.

Q: How long does a resync take?

A: Sync times vary depending on the size of your contact database and the type of resync performed. Most resyncs complete within a few minutes, but large accounts may take longer. The Support team will let you know what to expect when they process your request.

Q: My contacts still look out of date after a resync — what should I do?

A: First, confirm that your integration connection is active by going to Settings > Integrations and verifying the status shows "Connected." If the connection looks healthy but data still appears stale, contact Support at support@levitate.ai with details about which contacts or fields are not updating so the team can investigate further.

Q: Can I schedule a resync to happen automatically at a specific time?

A: Levitate's automatic sync schedule cannot be customized on a per-account basis. If you have a recurring need to sync more frequently, reach out to your Success Specialist to discuss your workflow — the team can advise on the best approach for your use case.

Q: Why does my contact count in Levitate not match my CRM?

A: There are several reasons the count may differ. Contacts without email addresses are typically excluded, since Levitate is an email-first platform. Your integration may also be configured to filter contacts by status, category, contact type, or prospect status — so only a subset of your CRM contacts are synced. Deceased contacts are always excluded. If you are unsure which filters apply to your account, your Success Specialist can review your integration settings with you.

A: A resync re-pulls the latest data from your CRM using your existing filter configuration. If contacts are excluded due to missing email addresses or sync filters, the count will remain the same after a resync. If you suspect the discrepancy is unexpected — for example, contacts that should match your filters are missing — contact Support at support@levitate.ai with details so the team can investigate.

Q: Levitate is showing a different primary email address for a contact than what is marked as primary in Redtail — why, and how do I fix it?

A: Levitate syncs the email address that Redtail designates as primary at the time of the last sync. If you recently changed which email is marked as primary in Redtail, that change will be picked up during the next scheduled sync cycle. If you need the update reflected in Levitate sooner, update the primary email in Redtail first, then request a manual resync by contacting your Success Specialist or Levitate Support at support@levitate.ai.

Q: I need contacts from a Salesforce campaign to appear in Levitate before a specific send — what should I do?

A: The integration syncs on a regular schedule, so new Salesforce campaign membership may not appear in Levitate until the next scheduled sync cycle. If you cannot wait for the next scheduled sync, contact your Success Specialist or Levitate Support at support@levitate.ai to request a manual resync. When you reach out, mention that you have a time-sensitive send and describe which contacts or campaign need to be updated — this helps the Support team prioritize your request.
