Service Job Board
The Service Job Board gives field-service businesses a central place to track and manage service jobs alongside contacts, opportunities, and other account data in Levitate. Each job card shows key details — job number, status, total, completed date, and linked contact — so your team can see the full picture without switching tools.
Note: The Service Job Board is off by default. Contact your Success Manager to enable it for your account.
Where Service Jobs Come From
Jobs can land on the board three ways:
- Home services integrations — If you connect Housecall Pro or ServiceTitan, your service jobs sync onto the board automatically. This is the most common source for home services accounts.
- CSV import — Upload jobs in bulk (see Importing Jobs from CSV below).
- Manually — Add individual jobs with Add Job, or create them through the Levitate API.
Jobs From Housecall Pro and ServiceTitan
Both the Housecall Pro and the ServiceTitan integrations feed the Service Job Board. Once the board is enabled and the integration is connected, jobs sync in automatically on the integration's daily sync and appear as cards linked to the matching contact.
A few things to know about how integration jobs behave on the board:
- All job statuses sync, not just completed jobs. Jobs of every status (for example scheduled, in progress, completed, or canceled) come across and are grouped into columns by their status. Completed jobs show their completed date on the card.
- Job fields map from the source system. Cards populate with the job number, job summary, status, total, and completed date from Housecall Pro or ServiceTitan. (Housecall Pro uses the Housecall Pro job ID as the job number.)
- Integration jobs are read-only on the board. Because the source system stays the system of record, jobs synced from an integration can't be edited or deleted directly in Levitate — updates flow in on the next sync.
Accessing the Service Job Board
Once enabled, the Service Job Board appears in the left-hand navigation under Data Boards. Click it to open the board view.
Viewing Jobs
The board lists all service jobs for your account. You can filter by job number, status, or completed date range using the controls at the top of the board. Click any job card to open the full detail view for that job.
Adding and Editing Jobs
To add a new job, click Add Job in the upper right corner and fill in the required fields: job number and linked contact. To edit an existing job, open the job detail view and update the fields directly. Save changes to update the board. Job number cannot be edited once set. To change the job number, delete the service job and create a new one with the correct number.
Note: Jobs that were synced from a Housecall Pro or ServiceTitan integration can't be edited or deleted in Levitate — the source system stays the system of record, and changes sync in automatically.
Importing Jobs from CSV
You can import jobs in bulk by uploading a CSV file. Click the Import button, download the template if needed, and map your column headers to the required fields before uploading. The import tool validates each row and reports any errors before saving.
Job Actionables
From a job's detail view, you can take actions directly on the job record: update the status, log a note, or link the job to a different contact. These changes are reflected on the board immediately.
Job Completed Automation
Levitate can automatically reach out to a contact when their service job is marked completed. In the automation builder, choose the Job Completed trigger to start a series of emails or a handwritten card after a job wraps up — for example, a thank-you, a review request, or a maintenance reminder.
The Job Completed automation is available once the Service Job Board is enabled and the Show Completed Service Job Dashboard Card setting is enabled. It works for jobs from any source that feeds the board — Housecall Pro, ServiceTitan, CSV import, or jobs added manually — as long as the job has a completed date. A job qualifies when its completed date is set and recent; jobs completed more than 30 days ago are not picked up.
The automation is triggered by a job's completed date being set — not by a status change. As long as a job has a completion date, it qualifies, regardless of the status label shown on its card.
You can run it two ways:
- Automatically — set the automation to send without review, and qualifying contacts are enrolled in the background as their jobs are completed.
- With review — leave manual approval on, and completed jobs collect on a dashboard card so you can review the list and start the outreach yourself.
Each completed job creates a single follow-up, so re-syncing the same job from an integration will not send duplicate outreach. The completed job's details are available in your templates through the service job merge field (see Merge Fields below).
Merge Fields
Service job data is available as merge fields in email templates. The service job merge field will populate the data in the following format - #[JOB NUMBER] - [SUMMARY] - [STATUS] - [TOTAL] - completed [COMPLETED DATE] in confirmation emails or follow-up messages sent through Levitate.
FAQs
Q: Does the Service Job Board sync with Housecall Pro or ServiceTitan?
A: Yes. Both the Housecall Pro and ServiceTitan integrations feed the board. When the board is enabled and the integration is connected, service jobs sync in automatically on the integration's daily sync — including completed jobs, which show their completed date. You can also import jobs via CSV or add them manually.
Q: Do only completed jobs come across from the integration?
A: No. Jobs of every status sync — scheduled, in progress, completed, canceled, and so on — and are grouped into columns by their status. Completed jobs show a completed date on the card.
Q: Who can view and edit jobs?
A: All Levitate users on the account can view jobs. Editing and creating jobs follows your account's standard user permissions. Jobs cannot be edited if a home maintenance integration is enabled. Contact your Success Manager if you need to restrict access.
Q: Can I automatically follow up when a service job is completed?
A: Yes. Use the Job Completed trigger in the automation builder to send emails or a handwritten card after a job is marked completed. It works with jobs from Housecall Pro, ServiceTitan, CSV import, or manual entry, and can run fully automatically or with manual approval through a dashboard card.
Q: Does the Job Completed automation only work with an integration?
A: No. It triggers on a job's completed date from any source — an integration, a CSV import, or a manually added job — as long as the Service Job Board is enabled. Note that jobs completed more than 30 days ago are not picked up.
