Schedule a Meeting: Redtail Calendar
Redtail Calendar Integration with Levitate
Levitate offers the ability to connect your Redtail calendar for use with our Schedule a Meeting feature. This allows you to manage availability and book meetings based on your Redtail calendar instead of your email calendar.
How the Redtail Calendar Connection Works
The Redtail calendar integration is not self-service and must be enabled by a member of the Levitate team. If you prefer to use your Redtail calendar instead of your email calendar, please reach out to your Customer Success Manager or Levitate Support to request setup.
Availability & Scheduling Behavior
When connected, Levitate reads your Redtail calendar to determine when you are available for meetings.
- All events are treated as busy by default
- Recurring events are treated as free and will not block availability
- Tasks will block availability
- All-day events (appointments or reminders) will block your entire day
Optional Setting: All-Day Events, Tasks and Appointments
By default, all-day events, tasks and appointments are considered busy. If you'd prefer that all-day events do not block your availability, reach out to Levitate Support to adjust this for you.
Important Limitations
There are a few key differences when using the Redtail calendar compared to a traditional email calendar integration:
- No calendar invites are sent to the recipient when a meeting is booked
- Zoom (or other meeting links) are not automatically shared with attendees
- You will not receive an email notification when a meeting is scheduled
Because of this, you may need to manually communicate meeting details (like links or confirmations) to your clients after a meeting is booked. Here is a direct link to our help articles for creating a Meeting Reminder Automation to ensure the communication is sent to the recipient.
FAQ
Q: Can I use the Redtail calendar for Levitate's Schedule a Meeting feature?
A: Yes! For availability, tasks block availability and recurring meetings do not. However, the Redtail calendar only sends a notification to the recipient. It does not send a calendar invitation nor does it send your Zoom link, meeting link details, etc. You will not get a notification about the meeting in your inbox. These limitations are due to the nature of the Redtail calendar itself.
Q: How do events on the Redtail calendar impact Levitate meeting booking?
A: We view everything as busy except for "recurring events," outside of that it can be set to ignore all day activities as well.
Q: Can I exclude certain types of meetings, tasks, etc. that are on my Redtail calendar from blocking my Levitate booking availability?
A: Yes! Our Support team or your Success Specialist is able to get this done. You'll just need to know the specific type of event so that we can single it out to exclude.
