Automations Overview
Send a series of emails, text messages, handwritten cards, and more using Levitate Automations.
Levitate users can seamlessly engage with their contacts by setting the perfect flow of calendar reminders and contact touchpoints. An Automation Flow is a series of steps that trigger events on a certain day or when kicked off manually.
An Automation Flow can be set and modified for a particular contact. Each step can include an event like sending an email, setting an action item, or adding and removing tags.
Creating an Automation
As of April 2026, Levitate users can create and update automations using the Automation Canvas. This canvas allows the automation creator to zoom out and see how their automation steps are set up and segmented. It also allows for steps to be conditionally branched and for one automation to kick off another.

Automation Types
Automations fall into three categories, based on what kicks them off.
1. Date-Based Triggers
A specific key date is what triggers the automation.
• Birthday Automation — Recognizes all birthdates in Levitate, regardless of whether the year is included, for personalized outreach.
• Milestone Birthday Automation (65th, 72nd, etc.) — Targets contacts by specific birth year and date for outreach around insurance and financial milestones. Can be configured through a Dashboard Card.
• Renewal Automation — Recognizes insurance policy renewal dates, targeting a contact a certain number of days before the renewal to ensure renewal and share updates.
• Client Review Automation — Recognizes financial account review dates, targeting a contact a certain number of days before the review for reminders and preparation.
• Construction Date Automation — Recognizes construction key dates, targeting a contact a certain number of days around that date.
• Meeting Reminders — Sends a series of reminders based on a meeting booked through Levitate.
2. Event-Based Triggers
Something happens — a new lead comes in, a donation is given, a matter stage changes, etc.
• New Leads Automation — Works hand in hand with contacts coming through a Lead Parser.
• New Donor Automation — Detects when a Levitate contact donates for the first time. The donation must be received and/or dated in the past 24 hours to qualify as a new donor.
• New Donation Automation — Detects when a new donation is pulled into Levitate. The donation must be received and/or dated in the past 14 days to qualify.
• New Policy Automation — Recognizes when a new policy has been added to a contact profile.
• Matter-Related Automations — Triggered by a new matter being added to the Matter Board, or by a matter status or stage change.
– For clients integrated with Clio, MyCase, or PracticePanther, matter changes can be automatically tracked and updated through daily syncs.
– For clients using spreadsheets and manual entry, new matters can be added and existing matter stages and statuses can be updated through the Matter Board itself or via CSV import.
3. Basic Automation Types
These are not tied to a certain event or date. They can be triggered manually, through tagging, or through the Start an Automation step.
• Texting Automation — Sends a series of steps, starting with a text message.
• Tag-Triggered Automation — Sends a series of steps, kicked off by the addition of a tag to a contact.
– Tag-Triggered Automations have a special setting that allows a cooldown period. If selected, the automation will only be sent based on that cooldown period. The contact will need to be added to the automation again to send again.
• Manually Triggered Automation — Sends a series of steps to contacts that have been manually chosen through the Contacts page.
