Levitate + HawkSoft Integration
Overview
Levitate teamed up with HawkSoft to simplify contact creation and management in Levitate. The integration automatically pulls your HawkSoft contacts, key facts, and tags into Levitate, preventing a manual export, scrubbing, and import of your data.
The Levitate + HawkSoft integration syncs your contacts approximately every 24 hours, keeping your contacts and their policies evergreen within Levitate.
This is a two-way integration, meaning Levitate can pull and push data to and from HawkSoft.

Activity Writeback
Levitate can write engagement activity back to HawkSoft, including:
- Emails
- Notes
- Logged phone calls
- Handwritten cards
- Text messages
Inbound and outbound text messages are written back as a text message digest.
Integration Settings
Ownership Mapping
HawkSoft contacts are assigned to a Levitate User by either the Producer or CSR listed on the HawkSoft Customer page. Levitate refers to this as "Contact Ownership". One Levitate user can be the contact owner of multiple HawkSoft Producer/CSR codes/initials.
Contacts can be mapped based on:
- Producer
- CSR
Each contact has one owner in Levitate, but additional Producer or CSR relationships can also be reflected as connections.
Ownership Tags
Levitate can add ownership tags based on the Producer or CSR associated with the contact in HawkSoft.
Key Facts
- Birthday Key Facts — Birthdays can be brought into Levitate when available.
- Renewal Key Facts — Policy expiration dates can be used to create renewal-related Key Facts.
Birthday syncing can be configured for:
- All contacts
- Clients only
- Prospects only
Prospect Handling
Levitate considers prospects to be contacts without active policies in HawkSoft.
You can choose to include:
- All prospects
- No prospects
- Prospects within a defined timeframe
Commercial Profiles
For commercial accounts with multiple associated contacts, you can choose whether to sync:
- All contacts
- Primary and secondary contacts only
Primary Email Only
If a contact has multiple email addresses, Levitate can be configured to sync only the primary email address.
Segment by Tags
Contacts can be included or excluded from syncing based on selected tags.
Data Mapping
Contact Requirements
To sync into Levitate:
- Contacts must not be archived
- Contacts must not be deceased
- Contacts must have at least a name or email address
- Contacts without sufficient identifying information may be skipped
- If a contact has an email but no name, the email may be used as the first name
- Contacts sharing the same email address may be merged
Levitate can sync both primary and secondary insured contacts from HawkSoft.
Primary Contact
- Has active policies
- Marked as IsMain insured in HawkSoft (Levitate honors the order of contacts listed in HawkSoft)
The Primary Profile will have Policy information as tags and key facts.
Secondary Contact
- Not the same as Primary Contact for the Customer
- Has active policies
- Personal Clients: will only pull one Secondary Contact
- Commercial Clients: option to pull in all Secondary Contacts
The Secondary profile (Second Insured) will only have the tag 'Second Insured.'
It's possible in HawkSoft for an individual to be Second Insured on one Client record and Primary on another. In this case, they can have both policy information and Second Insured in Levitate. This is due to Levitate combining contacts by email address or first + last name.

Notes:
- If a nickname or preferred name is available, it may be used as the first name in Levitate
- Email addresses and phone numbers must be linked to a profile in HawkSoft to sync reliably
- The first listed email or phone number is prioritized when multiple values exist
- Mailing address is applied to the first insured contact
Email Field Mapping
Secondary Email Addresses
Secondary email addresses do not automatically sync to Levitate. To use a secondary email address for a contact:
- Make it the primary email address in HawkSoft or;
- Manually add it to Levitate on the contact profile
Tags
Levitate can create tags from HawkSoft client, contact, and policy data.
In general, policies will be mapped as outlined below. In case there is no explicit line of business noted, Levitate may fall back to using the tag General.
Lines of business are well known types with a shorthand key. For example, AUTOP maps to "Private Passenger Auto". This mapping is updated with each Levitate release.
Levitate determines lines of business using the following method:
- Policy Title — if this matches one of the LOB codes, that code is used
- Policy Title — if one of the LOB codes contains the value of the policy title, that LOB mapping is used
- Lines of Business array — if there is only 1 Line of Business in the array, the Code property (industry standard code) is used
- ApplicationType — as a final fallback; if Commercial or Personal, that value is used; otherwise defaults to PolicyType
Default Tags
- HawkSoft – identifies contacts synced from HawkSoft
- Client – active client with active policies
- Commercial – contact associated with commercial policies
- Personal – contact associated with personal policies
- Commercial Prospect – commercial client with no active policies
- Personal Prospect – personal client with no active policies
- Winback – contact with expired policies and no active policies
Policy & Client Tags
Depending on configuration, Levitate can also tag contacts based on:
- Billing Type
- Carrier
- Relationship
- Policy Sub-Status
- Source
- Policy Title
- Office Location
- State
- City
- Application Type
- Line of Business
Unsubscribe Handling
HawkSoft email preferences can be reflected in Levitate.
If a contact is marked as not allowing mass email in HawkSoft, Levitate can apply an unsubscribe status.
For cell phone numbers, Levitate also respects HawkSoft's texting permission setting.
Ownership
Ownership is determined by the selected Producer or CSR mapping.
- The selected HawkSoft role determines the Levitate contact owner
- Producer and CSR relationships can also be used as contact connections
- Ownership tags may be applied for additional visibility
Writeback Details
When enabled, Levitate writes activity back to HawkSoft as notes, including:
- Emails
- Notes
- Logged phone calls
- Handwritten cards
- Text message digests
Writeback must be enabled as part of the HawkSoft integration setup.

Q: Can Levitate connect to more than one HawkSoft OfficeID?
A: Yes — Levitate can be connected to multiple OfficeIDs, as long as they are for multiple offices associated with one agency. Levitate cannot connect multiple instances or agencies.
Q: Does Levitate sync HawkSoft Client Tags?
A: No. HawkSoft Client Tags are not currently available through the integration due to a limitation in the HawkSoft API.
Q: Does Levitate pull the secondary email from HawkSoft?
A: No, Levitate only pulls in primary email addresses.
