Scheduling a Group Send from a Custom Dashboard Card

Want to receive notice of an important key date that isn't a birthday, turning XX date, or renewal? Levitate offers Custom Dashboard Cards so you can keep track of all kinds of important dates.

First, to get a Custom Dashboard Card set up, you'll need to work with your Success Specialist. Contacts will need to have a date-based Key Fact with the same identifier. Contacts can have unique dates for the Key Fact, but the Key Fact identifier must be the same.

Here's what it will look like on a Contact Profile— the green calendar icon means that this date will show on the Custom Dashboard Card for notification purposes.

To give a little more context— here is what the spreadsheet with this Key Fact Looks like. The contacts have the same Key Fact prefix and different dates.

Clicking on the Custom Dashboard Card will pull up a new blank email template. You can use an existing campaign, use AI to write a new one, or draft one yourself to send out.

These emails will send just like a group email campaign. After the campaign is scheduled, it can be edited, rescheduled, or canceled from the group email report page. You can also add or remove recipients from this page. Once the email send has begun, you cannot make changes to the email.

Custom dashboard cards now support automations as well, so you can select an automation to be run from the dashboard card itself. To be able to kick off an automation using a Custom Dashboard Card, the automation must first be set up through Automations.

FAQs

Q: Why isn't my custom dashboard card automatically approving even when the setting is enabled?

A: Automatic approval depends on how your key fact date is formatted. For the card to auto-approve and send, the key fact must include only a month and day. If a year is included in the key fact, the system will not trigger automatic approval.

Q: Why are newly imported contacts or prospects not showing up on my custom dashboard card?

A: Custom dashboard cards display contacts whose key facts match the phrase or phrases configured for that card. If a newly imported contact is not appearing, check the following: (1) the contact's key fact uses the exact phrase that was set up for the card — the match must be identical; (2) the key fact was included in the import and saved correctly on the contact profile (look for the green calendar icon on the profile); (3) there may be a brief delay after import before the dashboard count refreshes — try reloading the page. If contacts still do not appear after confirming the above, reach out to your Customer Success Specialist to verify the card's phrase configuration.

Filtering Recipients by Ownership

When scheduling a send from a dashboard card, the Recipients panel includes a Showing dropdown that lets you filter the recipient list by contact ownership. For example, selecting Contacts I own narrows the list to only the contacts assigned to you, while All contacts shows every eligible contact regardless of owner.

This ownership filter is available on Financial Review, Anniversaries, Turning Ages, New Donations, and custom key date cards — the same cards that use the Recipients panel for scheduling group sends.

Note: If Send From is set to Contact Owner, the Showing dropdown is disabled. When sending as the contact owner, the system already scopes each email to the appropriate owner automatically, so an additional ownership filter is not needed. Hover over the dropdown to see a tooltip explaining this.
