Matter Boards

Matter Boards allow legal professionals using Levitate to visualize, track, and manage matters in a flexible board view, similar to Donation Boards and Policy Boards. With Matter Boards, you can import matters from spreadsheet files or automatically pull them in via integrations, and then organize, filter, and take action on matters directly within Levitate.

Matter Boards are especially useful for legal firms and legal departments to track case progress, lifecycle milestones, and related matter attributes while keeping data centralized.

Enabling Matter Boards

To enable Matter Boards, reach out directly to your Success Specialist or the Levitate Support team. If you're using Clio, Practice Panther, or MyCase, you can also enable Matter Stage Tags so matter stages pull in and automatically associate with contacts.

Once Matter Board tagging is enabled, you’ll see the Matter Board option in your Data Boards section.

Accessing and Viewing the Matter Board

After Matter Boards are enabled, access them by navigating to:

Data Boards > Matter Board

Here, matters are displayed in a table with customizable columns representing stages or categories relevant to your workflow (e.g., Intake, Active, Pending, Closed). Each matter card displays key details that help you understand the status at a glance.

Adding Matters

Importing Matters Using a Spreadsheet

Just like contact or donation uploads, Levitate allows you to import matters in bulk via a spreadsheet.

How to Import:

  1. Prepare your spreadsheet with column headers that align to matter fields (e.g., Matter Name, Stage, Matter Number, Practice Area).
  2. Save the file as a CSV.
  3. From the Matter Board, click the dropdown beside Add Matter.
  4. Choose Import from CSV.
  5. Upload your CSV file and map each column to the appropriate matter fields.

Available Fields:

Primary Email, Matter Name, Matter Number, Stage, Status, Practice Area, Open Date, Close Date

If you’re unsure how to format your spreadsheet, there is a sample import file available directly from the upload page. You can download it, fill in your matter data in the template, and upload it back to Levitate to ensure the structure matches.

Here's a screenshot of the sample import file:

Adding Matters One at a Time

If you just have a single matter to add:

  1. Click Add Matter in the upper right of the Matter Board.
  2. Enter the matter details in the form that appears.
  3. Click Save.

This will create a new matter immediately visible on your board.

Matter and Matter Stage sync with integrations

For accounts using supported legal practice management integrations—Clio, MyCase, and Practice Panther—matter data and associated stages will sync automatically from the integrated system. As matter stages are updated in the external system, those changes are reflected in Levitate’s Matter Board.

Organizing & Filtering Matters

Filtering Options

Matter Boards support a variety of filters so you can focus on a specific subset of matters:

  • By Stage — View matters in particular lifecycle stages.
  • By Matter Name— Filter matters by name.
  • By Matter Number — Filter matters by number.
  • By Status — Active or Inactive.
  • By Contact — Focus on matters tied to certain contacts.
  • By Date— Filter by Open or Close Date.
  • By Practice Area— Filter by case type.

Use multiple filters together to narrow down your view and find exactly what you need.

Taking Action from the Matter Board

Once matters are visible:

  • Click on a matter to view detailed information.
  • From the detail view, you can edit matter data.
  • Use the board’s bulk selection checkboxes to select multiple matters and take action on them all at once (e.g., tag them, send outreach, export data).

Best Practices & Tips

  • Enable Matter Stage Sync early. If your firm uses an integrated system, syncing stages saves time and prevents data drift.
  • Use spreadsheet imports to onboard large datasets. This speeds up setup for firms transitioning massive matter lists into Levitate.
  • Leverage board filters daily. Filters help you see urgent matters or those due soon without having to search manually.

Frequently Asked Questions

Q: Can I use Matter Boards without an integration?

A: Yes. Matter Boards can be populated entirely through spreadsheet imports if you are not using an integration.

Q: Where can I find the sample CSV file for Matter imports?

A: A sample file is linked directly from the Matter import page in Levitate to help you format your data correctly.

Q: Will stage changes in Clio reflect in Levitate?

A: As long as Matter Stage Tags are enabled in your settings, stage changes from a connected system sync to the Matter Board automatically.
