Levitate + Redtail: What is the integration?

Levitate and Redtail teamed up to simplify contact creation and management in Levitate. Without the integration, Levitate relies on a manual export of Redtail data to build the lists of contacts with whom you keep in touch. The Levitate + Redtail integration syncs your contacts nightly so you can seamlessly nurture those relationships.

The integration also prevents manual data duplication and eliminates an additional archive of customer correspondence that is required by financial regulations. The Levitate + Redtail integration alleviates these concerns by writing notes and/or emails back to Redtail and keeping consistent records of communication.

Customers enjoy up-to-date data in Levitate and harmonious recordkeeping between the two technologies.

Who can utilize the Levitate + Redtail integration?

Any paid Levitate customer using Redtail as their CRM is able to use this integration.

What does the integration do?

Levitate automatically pulls contacts, key facts, and tags from Redtail nightly, keeping the data evergreen. Contact information includes first and last name, phone number, email address, preferred physical address, company name and title, etc. We help keep your emails authentic with filtering and contact enhancement logic (Nicknames replace first names, deceased clients are automatically removed, etc). Levitate maps relationships within families so you can quickly see if a contact is a sibling, spouse, etc. These are key facts to have at your disposal when reaching out. Our system also prevents you from missing birthdays and anniversaries.

Notes provide insight to client engagements. Notes are also very helpful for team collaboration or quickly briefing teammates when they are new to the conversation. Since Levitate syncs with your calendar, we’ll remind you to add notes about recent meetings. Notes from Levitate are automatically pushed back into Redtail, so there’s no need for manual data duplication. What about the emails you send to customers or prospects through Levitate? We’ll make a note of that correspondence in Redtail too.

  • Status (Adjustable: Clients, Clients + Prospects, Prospects from within a certain time frame)
  • Redtail Tag (indicates that we pulled in the contact via Redtail Integration)

Contacts sync up nightly so any changes or updates you make in Redtail will be reflected in Levitate the following morning.

What do we push back to Redtail?

By default, we push Levitate notes, as well as emails and text messages sent through Levitate (via the web-application or Levitate Plug-in for Outlook). Text messages sent through Levitate will write back as a digest to Redtail. Your Success Manager can disable any of these options if you do not not want to push these back to Redtail.

Enabling the Redtail Integration

Account-wide

Your Success Manager will enable the Redtail integration for your entire account on your initial onboarding call.

Once enabled, you’ll see a card that lets you know the Redtail Integration is available.

User-specific

Each user will need to Sign into Redtail once with their regular Redtail username and password.

The contact import may take a few minutes or up to an hour, depending on the number of contacts. Users can navigate away from the loading page while the import continues in the background.

After your contacts are imported, your Success Manager can adjust your settings to remove any unwanted tags, sources, or categories.

FAQ

Q: Do we push changes to contacts from Levitate back to Redtail?

A: No, Redtail is your CRM and remains your source of truth for contact info, we just read the contacts as you have them in Redtail

Q: Do you pull in all the notes for a contact from Redtail into Levitate?

A: No, that might get a little messy and you might accidentally pull sensitive information into Levitate that you didn’t intend to that way. We link with your email and calendar so we’ll still know if you were in communication with your customer but we just won’t be privy to the details.
