Policy Boards
In order to allow for our Insurance accounts to import and view policy information in a much more powerful way we're introducing Policy Boards!
Who can use policy boards, and how?
At the time being, policy boards are can be enabled for insurance accounts that import their data through spreadsheets and manual entry. Members of the success, implementation, and support team can enable policy boards. They can be found in the Data Boards menu on the lefthand side of the Levitate dashboard.
Adding policies, policy holders, renewal information, and more
Much like uploading contacts via our contacts page, users are able to import policy information via spreadsheet or manual entry through the policy board itself. Also, when you import policy information through manual upload anywhere else on Levitate, like through the contacts page, or through data refresh, all policy information will synchronize and the policy board will be the source of truth for policy information.

The easiest way to add one policy or policy holder at a time will be by choosing 'Add Policy' in the upper right of the policy board itself. Here's a screenshot of what you'll enter:

Spreadsheet Import
If you're importing a large list, the best way will be through clicking the arrow to the right of 'Add Policy' and choose 'Import from CSV.' From there, you'll choose the file for the upload, we recommend formatting the spreadsheet as a CSV, and then you'll make sure that the columns are headed correctly. We've added a few policy specific column headers that cater specifically towards the policy board.
Required fields for importing a CSV with policy board data
Policy Holder Name / Company— First Name, Last Name
Email Address— Primary Email
Policy Owner — this will be a Levitate user— can be the user's name or OwnerID
Line of Business — aka type of policy like homeowners, auto, term life— Policy Line of Business
Carrier — Policy Carrier
Premium Amount — Policy Premium
Policy Number— Policy Number
Origination Date— when the policy was written— Policy Origination Date
Effective Date— when the policy was active — Policy Effective Date
Renewal Date— when the policy's term is up— Policy Renewal Date
If any of these fields are missing from the import, you will receive an error and not be able to import the spreadsheet. What's bolded, above, is what the column should be headed with to map properly.
Using the Policy Board for outreach and searching
You're able to search within the policy board by Policy Holder (aka the name of the contact), Policy #, Carrier, and Policy Owner (one of your Levitate users).
You can also filter by Line of Business, aka the type of policy like homeowners or auto.
There is a date range filter— so you can see renewals by month, quarter, week, whatever works best for you.
You can also apply a premium minimum or maximum.
By selecting policy holders on the board, you're able to set up an email, text, handwritten card, or automation send. You're also able to export this data.
If you click into a policy holder's name, you'll see a full report on their policies, renewals, carriers, and premiums.
Our next move with policy boards will be to allow integration information for policies pull into the policy board for better renewal and premium tracking.
