Levitate's Wealthbox integration helps financial professionals sync contact data and track engagement activity directly within their CRM.

Activity Writeback

Levitate automatically records engagement activities back into Wealthbox, including:

  • Emails
  • Notes
  • Logged phone calls
  • Handwritten cards
  • Text messages

Where activities appear in Wealthbox:

  • All activities are written back as notes in the contact's Activity feed

Authentication & Access

  • A single user connects Wealthbox to Levitate for syncing and writebacks
  • The connecting user must be an admin user in Wealthbox
  • This user must be able to see all contacts that the account would like to see in Levitate
  • Once connected, contacts begin syncing automatically

Enabling the Wealthbox Integration

Account-wide

Your Success Manager will enable the Wealthbox integration for your entire account on your initial onboarding call. Once enabled, you'll see a dashboard card that lets you know the Wealthbox integration is available.

User-specific

Wealthbox allows for multi-user mapping, but only one user connects for syncing data and writebacks. The connecting user must be an admin user in Wealthbox.

The contact import may take a few minutes or up to an hour, depending on the number of contacts. Users can navigate away from the loading page while the import continues in the background.

Once the initial sync has wrapped up, your Success Specialist can assist with mapping contacts to Levitate users, and getting tags, key facts, and other integration preferences set up.

Integration Settings

The Wealthbox integration includes flexible settings to control how contacts, ownership, and data are managed in Levitate.

Ownership Mapping

  • Contacts are assigned based on the Assigned To field in Wealthbox
  • Each Wealthbox user can be mapped to a Levitate user

If no user is assigned:

  • Contacts may appear as Unassigned

Contact Sync Controls

  • Primary Email Only — Sync only the primary email address for each contact
  • Segment by Tags — Control which contacts are synced based on selected tags

Prospect Handling

  • Prospect status is determined by the Contact Type in Wealthbox
  • You can choose to:
    • Include all prospects
    • Exclude prospects
    • Include prospects within a defined timeframe

Key Facts (Date-Based Data)

  • Birthday Key Fact — Pulled from the contact's birthday in Wealthbox
  • Client Review Key Fact — Created from custom date fields containing the word "Review"
  • Custom Key Dates — Additional date fields can be added as Key Facts for important milestones

Activity Writeback Settings

You can choose which activities are written back to Wealthbox:

  • Email
  • Note
  • Phone call
  • Handwritten card
  • Text message

Tags

Levitate can create tags from Wealthbox contact data.

  • State
  • City
  • Postal Code

Custom Fields

  • Custom fields created in Wealthbox can be synced into Levitate
  • Non-date fields become tags
  • Date fields become Key Facts

Data Mapping

Contact Requirements

  • Contacts must have at least a name or email address
  • Contacts without sufficient data may be skipped
  • Contacts with the same email address may be merged

Notes:

  • Primary email and phone number are prioritized
  • If no primary is set, the first available value is used

Contact Handling

  • Only contacts categorized as People are synced
  • Contacts with a recorded date of death are automatically archived

Key Facts

  • Birthday — Pulled directly from Wealthbox
  • Client Review Dates — Created from custom date fields labeled with "Review"
  • Custom Dates — Additional date fields can be used for tracking milestones

Tags

Levitate automatically assigns tags based on Wealthbox data.

Default Tags

  • Wealthbox – identifies contacts synced from Wealthbox

Contact Type Tags

  • Client
  • Past Client
  • Prospect
  • All others come over as Unknown

Status Tags

  • Active
  • Inactive

Ownership Tags

  • Contacts are tagged based on their assigned Wealthbox user
  • The tag format is "Wealthbox: User Name" (e.g., "Wealthbox: Jane Smith")

If no user is assigned:

  • Tag will display as Unassigned

Additional Tags

  • All tags associated with a contact in Wealthbox can be synced into Levitate

FAQs

Q: Can I update contact information in Levitate and sync it back to Wealthbox?

A: No. Wealthbox remains your system of record for contact data. Levitate syncs contact information from Wealthbox and writes back engagement activity only.

Q: Can custom fields be used in Levitate?

A: Yes. An administrator in Wealthbox must first create the field via Settings > Customizations > Custom Fields. Once added, the field appears on the contact form and can be pulled into Levitate:

  • Text and similar fields → Tags
  • Date fields → Key Facts

Q: Can multiple Wealthbox accounts be connected?

A: No. A Levitate account can only connect to one Wealthbox workspace at a time.

Q: What happens if a contact is marked as deceased?

A: Contacts with a date of death in Wealthbox are automatically archived in Levitate and excluded from communication.

Q: How do I prevent certain Wealthbox contacts from being contacted in Levitate?

A: There are several approaches to ensure certain contacts don't receive communications:

  1. Wealthbox Contact Status: Mark contacts as "Inactive" in Wealthbox. You can then filter by the "Inactive" tag in Levitate when building campaigns or automations.
  2. Contact Type Filtering: Use Wealthbox Contact Types (Client, Past Client, Prospect) to organize contacts, then filter by these categories in Levitate campaigns.
  3. Levitate Suppression: Use Levitate's unsubscribe/suppression features to prevent specific contacts from receiving emails regardless of their Wealthbox status.
  4. Campaign Filtering: When creating campaigns or automations in Levitate, use tag logic to exclude contacts with specific tags synced from Wealthbox.
