Automation Reporting

Need to check on, update, or cancel automation sends?

From your Levitate dashboard, choose Reporting from the lefthand navigation menu

Choose Email Report

Just like with campaigns and individual emails being sent through Levitate, automation steps can also be tracked in the Email Report area, and filtered by sender

You can click into the subject of the email to see the content itself— you will also see the contact profile of the contact you are sending to

If you click Manage, you'll see all the automation steps and be able to manage from there by clicking into Actions

Also, if you go to Reporting and choose Automation Report, and check out reporting automation by automation

When you click See Report, you'll see more details of the sends being made through that automation

You'll be able to filter by send date, filter by who sent the automation, and See Details of all the automation steps being sent out.

The header of an automation's report shows ring metrics for open rate, average click rate, and reply rate. The Average Click Rate ring only appears when click tracking is active for that automation — meaning at least one step uses a "tag on click" action or the email template includes an "if they click" conditional branch. If click tracking is not enabled, or no emails in the automation have been clicked yet, the ring is hidden rather than shown as zero.

Filtering the Automation Report

The Automation Report includes a filter bar that lets you narrow the report to a specific subset of automations. You can search by automation name, or filter by creator, trigger type, status, and resource. This makes it easy to focus on, for example, all automations of a particular type or all automations managed by a specific team member.

Automation Report Metrics

When you click See Report for an automation, the report header displays circular-progress rings summarizing performance across that automation's email steps. The rings shown are Average open rate, Average click rate, and Average reply rate, in that order from left to right.

The Average click rate ring shows the percentage of recipients who clicked a tracked link in that automation's emails. It appears between the open rate and reply rate rings only when click tracking is active for the automation — specifically, when one or more steps use an "if they click" conditional branch or a tag-on-click action. If no click tracking is configured (or no clicks have been recorded), the click rate ring is hidden.

Note: Click tracking is off by default. It activates automatically when an automation step includes an "if they click" condition or a tag-on-click action. If you do not see the click rate ring on an automation's report, that automation does not have click-based branching or tag-on-click configured.

Updating the Schedule / Changing Dates

To update the date of a particular step for a particular contact:

  1. Click the Contacts tab on the left-hand Navigation Bar
  2. Click the Contact's name to open their Contact Profile
  3. Identify the blue Automations in Progress section
  4. Click the blue date beside the step
  5. Select a new date
  6. Click the blue Update Date button

Cancelling an Automation

To cancel an automation for a particular contact:

  1. Click the Contacts tab on the left-hand Navigation Bar
  2. Click the Contact's name to open their Contact Profile
  3. Identify the blue Automations in Progress section
  4. Click the blue Manage link on the right side of the appropriate Automation
  5. Click the blue Cancel Automation button

Removing a Contact from an Automation

  1. Click the Contacts tab on the left-hand Navigation Bar
  2. Click the Contact's name to open their Contact Profile
  3. Identify the blue Automations in Progress section

  4. Click the blue Manage link on the right side of the appropriate Automation

  5. Click the blue Cancel Automation button

Updating an Email Message

To update an email message for a particular step for a particular contact:

  1. Click the Contacts tab on the left-hand Navigation Bar
  2. Click the Contact's name to open their Contact Profile
  3. Identify the blue Automations in Progress section
  4. Click the blue Manage link on the right side of the appropriate Automation
  5. Click the ellipsis under the Actions column

  6. Click the blue edit button
  7. Modify the message
  8. Click the blue Done button

FAQs

Q: Why don't my queued automation emails appear in the Email Reporting section?

A: The Email Reporting section reflects emails that have already been sent. Automation emails that are scheduled but not yet delivered — those in a queued state — do not appear in Email Reporting until they are actually sent. To view or manage pending automation steps, navigate to Reporting > Automation Report to see the status of each automation, or open a contact's profile and check the Automations in Progress section to review and manage steps that are still queued.
